Processing In-Store Buyback Offers

How to process In-Store offers with the default workflow steps

Purpose

This guide helps Reusely users manage in-store buyback offers and navigate the Offer Details page efficiently. It’s designed to streamline your in-store operations and enhance the customer experience.


Key Features

  • Manage offers by selecting all locations or a specific location

  • Search, filter, and export in-store offers for better visibility

  • Access and update customer, payout, and item information

  • Add, edit, and review items with pricing and condition data

  • Send PhoneCheck diagnostic reports per item or per offer

  • Upload and manage device photos

  • Print receipts, QR/barcode labels, and view changelog


Before You Begin

Make sure:

  • Your team has access permissions to view and manage In-Store offers in Reusely.

  • All store locations have been properly added to your Reusely account, so filtering and reporting work correctly.


Manage In-Store Tab

  1. Go to the Offer Management Page

    From the dashboard, open the sidebar menu and navigate to Offer Management, located between Dashboard and Shipping.

  2. Navigated to the In-Store tab

    You’ll land on the All tab by default. Switch to the In-Store tab to view all in-store buyback offers.

  3. Bird's Eye View

    At the top of the page, you'll see a quick overview containing:

    • Total Buyback

    • Average Price

    • Total Buyback Value

    Use this section to get a quick summary of your company’s performance. Each quick overview will show based on the current filters you applied.

  4. Search Everything

    Use the Search Everything bar to quickly locate a specific order across all columns.

  5. Filters & Easy Location Switching

    Since all locations are grouped into a single tab, use Filters → Location → Choose your location to view offers for a specific store.

    Additional filters include:

    • Status

    • Select Date

    • Item Conditions

    • Referral Source

    • Payout Method

    • Source

    • Additional Options

    You can combine multiple filters, then click Apply to refine your results.

  6. Manage Columns

    Customize the visible columns to adjust how data is displayed based on your workflow or team preferences.

  7. Export Offers

    Click Export to download your offer data in your preferred format:

    • CSV

    • XLS

    • XLSX

    Group Item toggle

    • Turn Off: List the rows for each item.

    • Turn On: List the rows for each offer.

    If the exported data doesn’t appear on your device, a copy will be sent directly to your email account.

  8. Open and Manage Offer Details

    Select any offer to open the Offer Details page, where all order information becomes visible and editable.


Creating an In-Store Trade-In Offer

1. Choose Trade-In Type

  • Click the Trade-In button in the title bar, next to the Search Everything field.

  • Choose In-Store or another location to continue the remote trade-in process.

2. Add or Select Customer

  • You’ll land on the Create Offer page

  • To add a new customer, fill in the fields:

    • Name, Company Name, Email, Address, Building, Phone Number, and Notes

  • If the customer already exists, search their name, apply filters, or select from the list below

3. Choose Payout Method

  • After selecting the customer, you’ll be taken to the Payout page

  • Choose the appropriate payout method from those you've already set up

  • Click Continue

4. Add Item to the Offer

  • You’ll now be on the Item page

  • Use the search bar to find an existing item

  • Or click Add Custom Item to create one manually

  • Fill in the following details:

    • Item Name

    • Color

    • Condition

    • Payout Price

    • Quantity

    • IMEI or Serial Number (optional)

    • Notes (optional)

  • Click Add Item

  • You’ll see a preview of the added item

  • Click Continue

5. Review Offer

  • You’ll be redirected to the Offer Details page

  • Here, you can review all the information and continue managing the offer

Offer Details Page Breakdown

The Offer Details page consists of multiple sections:

1. Offer Status

  • Update the status of the offer

  • Add internal notes

  • Choose whether to send a notification email to the customer

  • Use the 3 dots menu on the upper right side to print a receipt, archive the order, or view the changelog

2. Buyback Information

  • Buyback ID

  • Date created

  • Source and reference ID (if available)

3. Customer Details

  • Customer name, email, phone, and address

  • Number of items

  • Customer Portal Link (copy and send as needed)

  • IP address for verification

  • Click Edit to update any customer information

4. Payout Section

  • View and update the payout method

  • Edit payout details as needed

5. Items Section

  • View all items submitted in the buyback offer

  • Add new devices using the + Add Item button

  • Edit or delete specific items

  • Each item must have a valid IMEI or Serial Number

  • Add item-specific notes

  • Apply a Promo Code if needed

  • Print QR or Barcode labels

  • PhoneCheck Support:
    If PhoneCheck is enabled, you can send diagnostic reports per item or in bulk for the offer.
    Reusely ensures only valid reports are sent to maintain transparency and professionalism.

    Click 'add Add Item'

6. Image

  • Upload device images via drag-and-drop or file picker

  • Supported formats: PNG, JPG, HEIC

  • Maximum file size: 50MB

    Click 'Image'

7. Notes

  • Internal Notes: Visible only to your team

  • Customer Notes: Displayed in receipts and email notifications

    Click 'add Add Notes'
