Purpose
Reusely’s Status Automation Notifications allow you to automatically send emails to customers when an offer reaches a specific Offer Status.
These notifications are configured in Workflow Settings and help keep customers informed throughout the buyback process, so your team doesn't have to manually send an email for every status update.
Status Automation Notifications can be configured for:
Mail In
In Store
Batch Quote
Easy Offer
Custom Location
Open Workflow Settings
From your Reusely dashboard, go to Email Automation Settings.
Select the offer type you want to configure.
Review the available Offer Statuses.
Depending on your account setup, you can manage Status Automation Notifications for:
Mail-in: Offers processed through mail.
In-store: Offers are processed at physical store locations.
Batch Quote: Large-volume trade-in requests submitted and managed in bulk.
Easy Offer: Simplified form-based offers submitted online.
Custom Location: Trade-in events, pop-up buyback programs, warehouse intake, or other custom workflows.
Select or Create an Offer Status
Select the Offer Status for which you want to configure an automated notification.
Common Offer Statuses may include:
Leads
Pending
In Transit
Delivered
Being Inspected
On Hold
Payout Processing
Completed / Payment Sent
Not as Described
Returned
To create a new custom Offer Status:
Click Add Workflow.
Enter the Status Name.
Enter the Short Name.
Add a Description explaining what the status represents.
Note
Default Reusely statuses cannot be deleted or renamed. Custom statuses can be renamed after they are created.
Configure the Status Automation Notification
Under the Offer Status settings, configure the Trigger Settings to determine when the automated email notification should be sent.
You can configure the trigger using the available options, such as 1, 2, 3
You can also configure a Time Delay. Available delay options may include: Immediately, Hour, Day. The time delay options are available when the trigger setting is greater than 0.
Customize the Email Notification
Configure the email customers receive when the Status Automation Notification is triggered.
You can customize:
Company logo
BCC recipients
Email subject
Email message
Keep the message clear and relevant to the selected Offer Status so customers understand what is happening with their offer and what they should expect next.
Click Save once the notification is configured.
Add Dynamic Tags
Dynamic tags allow you to automatically include customer and offer information in Status Automation Notifications.
Examples:
{{customer.first_name}}Displays the customer's first name.{{customer.last_name}}Displays the customer's last name.{{customer.email}}Displays the customer's email address.{{offer.id}}Displays the offer ID.
When the email is sent, these tags are automatically replaced with the relevant information from the offer.
Before saving your Status Automation Notification:
Review the trigger settings.
Check the time delay.
Review the email subject and message.
Check the company logo and BCC recipients.
Make sure the dynamic tags are correct.
Click Preview to review the email.
Click Save.
Step 7: Manage Existing Status Automation Notifications
From the workflow list, you can manage existing Status Automation Notifications.
Click Edit to update available settings, including:
Status name, for custom statuses
Description
Trigger settings
Time delay
Email content
Company logo
BCC recipients
Email subject
Click Preview to review the notification before it is sent.
If a custom status is no longer needed, click Delete.
Default Reusely statuses cannot be deleted.
Automatically Updated Statuses
Some Offer Statuses can be updated automatically based on external information, particularly shipping and tracking information from supported carriers.
For example:
When a package is scanned by the carrier, an offer can automatically move from Leads to In Transit.
When the carrier confirms delivery, an offer can automatically move to Delivered.
For automatic tracking updates to work correctly:
The tracking number must be entered correctly.
The selected carrier must provide tracking updates that Reusely can receive.
Manually Updated Statuses
Some Offer Statuses require your team to update them manually because they depend on actions that cannot be detected automatically.
Examples include:
Inspecting a device
Placing an offer On Hold
Marking an offer as Not as Described
Starting or completing a payout
Marking an offer as completed

Review your Offer Status descriptions regularly so your team understands what each status represents.
Use dynamic tags to personalize customer notifications.
Make sure trigger settings and time delays match your intended workflow.
Keep email subjects and messages clear and relevant to the selected status.
Preview notifications before saving your changes.
Default statuses cannot be renamed or deleted.
Custom statuses can be renamed or deleted.
Make sure tracking numbers are entered correctly if you rely on automatic shipment status updates.
