How to make a Custom Workflow in Reusely

Purpose

Easily create and manage custom workflows that fit your processes—not just the default workflows from Reusely. You can add custom workflows for any buyback type: Mail‑In, In‑Store, Bulk Quote, and Easy Offer. This guide walks you through setting them up and keeping them organized.


Before You Start

Make sure your notifications are set to use your business email address.

Step

Access the Workflow Settings page

  1. Go to Settings → Advanced Settings → Workflow.

  2. On the Workflow page, select the buyback type tab you want to customize: Mail‑In, In‑Store, Bulk Quote, or Easy Offer.

Add a New Custom Workflow

  1. Click + Add Workflow.

  2. On the Add Workflow page, fill in the required fields:

    1. Status Name – The full name shown internally (e.g., “Activation Lock Hold”).

      Enter Status Name

    2. Short Name – A shorter label for compact views.

      Enter Short Name

    3. Description – What this status is used for and when to use it.

      Open Trigger Settings

    4. Trigger Settings – Define when this workflow status should be used or triggered.

    5. Toggle Logo if you want your logo visible in customer email notifications.

      Select Additional Field

    6. Toggle Workflow Status if you want customers to see this status on the Customer Portal.
      Here's what it will look like, all custom status will shows as Processing.

      📝Note: If disable, the status bar will dissapear.

    7. BCC – Add internal addresses to receive a copy of notifications (optional).

      Select Email Subject Field

    8. Email Subject – The subject line customers will see.

      Re-select Email Subject

    9. Email Content – The body of the email (use the shortcodes listed below in your app).

      Return to Workflow Settings

  3. When everything looks good, click Save.

  4. Use the meatballs menu (⋮) → Preview to see how the customer email will look.

Once saved, your custom workflow will appear in the selected tab and can be chosen from the status list.

Notes

  • Custom workflows will always appear at the bottom of the workflow list.

  • All custom workflows are available in Offer Management under Buyback TypesCustom Workflow tab.

Manage the Workflow

  1. Use the meatballs menu (⋮) next to a workflow to Edit or Delete it.

  2. Click Personalize In‑Store Dashboard to control which workflows appear on your main view.

  3. Check the checkboxes to include specific workflows in the dashboard.

    Note: You can select up to 9 workflows for this personalized view.

  4. Drag and drop workflows to reorder them based on priority or frequency of use.

  5. Use the dropdown above the list to control how many workflows are shown at once.

  6. Click Save Changes when you’re finished.

Tips and Notes

  • Add the custom workflow your team really needs.

  • Use clear status names that staff and customers can understand at a glance.

  • Always use the exact shortcodes provided (they can't be changed).

  • Use custom workflows to label different flows, like specific payout methods.


By configuring custom workflows, you can make Reusely match the way your team already works—keeping your buyback stages consistent, your communications clear, and your customers better informed at every step.
