Processing a Batch Quote

Learn how to manage, review, reconcile, and complete a Batch Quote after it has been created.

Overview

Once a Batch Quote has been created, you can manage every stage of the quote from the Quote Details page.

From this page, you can:

  • Update the quote status

  • Review offer and shipping information

  • Edit customer information

  • Update payout details

  • Add additional items

  • Move the quote to Pending Contracts

  • Manage customer signatures

  • Configure shipping labels

  • Upload shipping documents

  • Reconcile received items

  • Complete the Batch Quote

  • Access additional actions and reports


Processing Batch Quote

A. Update Status

On the Quote Details page:

  • Click to update the quote’s status.

  • If the customer hasn’t signed yet, you can move it to Pending Contracts.

  • Confirm changes by clicking Yes, Proceed.

Note

From Starter to Pro Plan, you can only make 3 Batch quotes. Access the Enterprise Plan to get an unlimited Batch quote here.

B. Offer and Shipping Information

Offer Info

This section includes:

  • Offer ID

  • Date

  • Source and referral source


Shipping Details

  • View or edit shipping info.

  • Click Add Additional Shipping Label.

  • Enter the number of labels and click Create Label after preview.

C. Editing Customer and Payout Information

Quote Information

Includes:

  • Customer name and contact details

  • Address and building info

  • Customer Portal link and print label option

Edit Customer Info

Click Edit to update the customer name, address, building/floor, or phone number.

Payout Section

  • Click Edit to update payout method

  • Choose a new method and click Save

D. Adding More Items

Adding More Items

Return to the Item Section and click Add Item to include more products.


E. Move to Pending Contracts

Once the quote has been reviewed:

  1. Click the Status pencil icon.

  2. Change the status to Pending Contracts.

  3. Click Yes, Proceed.

F. Customer Portal and Signing

Pending Contracts

  • Login to Customer Portal.

  • Find the Batch Quote and click View Offer.

  • Scroll to see the Contract Information.

  • Scroll again to the contract section where the customer can:

    • Enter full name

    • Click Accept and Sign to complete the agreement.

Note

Shipping labels are automatically generated when the customer signs the contract.

After that, the customer must review and sign the contract from the Customer Portal.

Once the contract has been signed, you can return to the Batch Quote to:

  • View or edit the shipping information.

  • Add additional shipping labels if needed.

  • Upload shipping files such as the contract and receipt.

  • Upload the Reconciliation Report, allowing your team to keep a record while making it available for the customer to view from the Customer Portal.

  • Add Internal Notes and Customer Notes for additional communication and record-keeping.


E. Shipping

After the customer has signed the contract, configure the shipping information.

Shipping Details

You can:

  • View or edit shipping information.

  • Click Add Additional Shipping Label.

  • Enter the number of labels.

  • Preview and click Create Label.

Shipping Files

Upload the required shipping documents, including:

  • Shipping Kit

  • Receipt

Uploading Reconcilation Report

Use the File Upload section to drag and drop the downloaded receipt and contract.


Navigate to Signed Contracts to manage your customers’ contract documents.

Note

The customer needs to sign the documents when they are on Pending Contracts or Reconciled steps.

Adding Notes

Use Customer Note or Internal Note sections to leave additional information.

E. Reconciled Items

Ensure Status

Ensure the status is Received first before changing it to Reconciled.


Item Sections

On the Item sections:

  • Under the Active tab, click Reconcile on the items you want to process.

  • Fill in the required fields:

    • Item Name

    • Color

    • Condition

    • Payout

    • Quantity

    • IMEI/SN and Notes

  • If needed, click Add Split to create additional rows for items with different colors or conditions.

  • Click Save Changes.

  • (Optional) Apply a promo code, or print QR/Barcode labels.

  • Click the three-dots icon to edit, view phonecheck data or delete your plan.

Note: The status automatically moved to being inspected after all the item reconciled.

F. Update Status

Once you've finished reconciling the required items:

  1. Return to the Quote Details page.

  2. Click the Status pencil icon.

  3. Change the status from Being Inspected to Reconciled.

  4. Click Update Status to confirm.

  5. After clicking Update Status, a dialog will appear asking Which receipt should the customer see?

    Choose one of the following options:

    • Generate the receipt – Sends the receipt generated from the reconciled items.

    • Use my uploaded report – Sends the reconciliation report you uploaded.

    • Send Both – Sends both the generated receipt and the uploaded report.

    Click Confirm to update the Batch Quote status to Reconciled.

G. Reconciled Stage

Note

The customer will not receive an automatic email notification at this time. You’ll need to email them manually using the Customer Portal link. (4)

Reconciled

  • Login to Customer Portal.

  • Find the Batch Quote and click View Offer. (1)

  • The customer can review their shipping information, tracking number, customer information, Receipt, Contract, and, if uploaded, the Reconciliation Report

  • Scroll again to the contract section where the customer can:

    • Enter full name

    • Click Accept and Sign to complete the agreement

Note

The signed document will appear in the Signed Contracts section.


Final Options

Options Menu

At the top-right corner of the quote, access:

  • Shipping Kit

  • Print Contract

  • Print Receipt

  • Offer Change Log

  • Resend Shipping Label

  • Archive Offer

Tips & Notes

  • Regularly review your Batch Quote list to track pending or expiring deals.

  • Use Internal Notes to keep your team aligned on order context and updates.

  • Customers must reconcile at least one item before you can update the quote status.

  • Archived quotes remain accessible for reporting and audit purposes.

  • A new notification called Batch Quote Confirmation is now available in Notification Settings.

  • The notification is triggered immediately when a Batch Quote is created.

  • Default notification state: OFF

  • Generated Batch Quote PDFs now display the Memo label more clearly.

  • PDF formatting has also been improved for better customer readability.

The Batch Quote workflow helps streamline the entire quoting process, from customer approval through reconciliation and completion. Managing each stage from the Quote Details page ensures accurate records, organized documentation, and a smoother experience for both your team and your customers.
