How to manage customer notes

Purpose

The Customer Notes Notifications feature lets you automatically email customers when a note is added to their offer. It also keeps your internal team informed by sending a copy of the note via BCC. This ensures transparency and timely communication throughout the buyback process.

Steps

  1. Access Notification Settings
    Go to Settings > Notification Settings in your Reusely dashboard.

  2. Edit Customer Order Notes Template
    On the Customer Notifications:

    • Switch the Customer Order Notes toggle On to activate it.

    • Click the Pencil icon next to Customer Order Notes to open the template editor.

  3. Add Internal Recipients (Optional)
    Enter your team’s email address in the BCC field to receive a copy of every customer order note notification.

  4. Customize Email Subject & Content
    Edit the Subject line to personalize the message customers receive.
    The default email includes:

    • Customer’s Full Name

    • Company Name

    • Order ID

    • Note Content

    • Company Logo

  5. Modify Variables (Optional)
    You can add, remove, or replace variables in the email template:

    • To show only the last name: replace {:customer-fullname} with {:customer-lastname}

    • To add more details, copy the relevant variable code and paste it where needed.

  6. Save & Preview
    Click Save to apply changes, then select Preview Email to review how it appears to customers.

  7. Reset to Default (If Needed)
    If you want to revert all edits, click Reset to Default and confirm by selecting Yes, Reset.


Examples/Scenarios

  • You want to notify a customer that their device inspection requires additional details.

  • A staff member adds an internal note, and you want both the customer and the sales manager to receive a copy.

  • You’re personalizing the message tone to match your brand’s voice.


Tips & Notes

  • Always include the order ID in your messages for easy tracking.

  • Use the preview feature to verify formatting and personalization before sending live notifications.
